    To assist the ALG EVP and President Vacations of the Apple Leisure Group in all facets of professional life. The ideal candidate is a polished professional who will have exceptional organizational skills, high attention to detail, creative problem-solving abilities, a can-do attitude, and forward-thinking. Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, arranging conference calls, scheduling meetings and greeting visitors. The Executive Assistant must be flexible, self-managed and motivated, and will truly serve as the “right-hand” to this Executive. This role will also provide remote support to the Senior Vacations Management team, as required.

    Responsibilities

    • Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. 
    • Opening, sorting, and distributing correspondence, including email, faxes, and snail mail.
    • Reading and analyzing submissions, letters, agendas, memos and determining significance; routing to appropriate personnel in a timely and efficient manner.
    • Prepare reports, collect and analyze information; prepare presentations.
    • Develop and utilize historical information; provide retrieval of information. Record meeting discussions and provide minutes/document recaps.
    • Data analysis; Proficient in Access, MS Word, Excel, Outlook. Perform filtering and sorting of data, V-lookup and other functions.
    • Coordinate processing of expense reports and assist with budget preparation.
    • Safeguards Executive’s time by screening, researching, and managing correspondence, messages, telephone calls, and visitors; prevents interruptions by resolving issues. Prepares and maintains orderly boardroom and executive office in preparation for and after meetings accordingly.
    • Manage, write and edit all communications with various internal and external stakeholders, media and government officials; creating presentations, distribution of materials, meeting planning and coordination of appropriate communications.
    • Maintain accurate documentation repository of meetings and publications for internal and external reference.
    • Handle and maintain information and documents in confidence as applicable.
    • Exhibit professional demeanor, executive presence and exhibit confidence at-all-times
    • Other miscellaneous duties as required.

     

    Qualifications

    • Bachelor’s degree or equivalent experience required
    • Minimum of 5 years’ prior experience in senior-level administration, business, management, or related field
    • Demonstrated skills and proficiency in performing clerical duties, taking memos, maintaining files, photocopying, scanning and organizing documents as needed.
    • Highly proficient computer skills, including Microsoft Office Suite (Word, PowerPoint, and Excel); scheduling appointments/updating calendars
    • Ability to concentrate on multiple problems/tasks at once and prioritize as appropriate
    • Ability to maintain confidentiality and jump in with little management
    • Excellent time management and prioritization skills
    • Availability - Flexible scheduling as needed
    • Consistently demonstrates strong organizational skills
    • Excellent written, verbal, and interpersonal communication skills
    • Proven proficiency to interact with International cultures while demonstrating proper business protocol
    • Willing to travel domestically and internationally
    • Capable of meeting deadlines in a fast-paced environment
    • Ability to prioritize and multitask
    • Experience working in a multi-culture environment with all levels of personnel
    • Professional demeanor
    • Bilingual English/Spanish (Verbal and Written) a plus
    • Regular predictable and timely attendance as required
